This sets out how we use and protect any information that you share with us when accessing services provided by us at Museum Development South West or any third party appointed by us to conduct work on our behalf.

What personal information do we collect and process?

You will be asked for personal information when you:

  • Sign up to any of our services, including enquiries

  • Sign up to or book onto an event

  • Sign an agreement for a grant or other investment

What personal information does Museum Development South West retain?

When you register for our services, make an enquiry, sign up to our newsletter and when you sign up for or book a ticket for an event we will retain your name, contact details and contact preferences along with the details of the organisation which you are representing. MDSW will also retain records of the interaction you have had with us to ensure we continue to provide an effective service, This includes:

  • Details of correspondence that we have sent to you or received from you
  • Phone calls made to you or received from you
  • Meetings you have attended with a representative of MDSW
  • Attendance to one of our training events or programmes
  • Details you have provided to us about your development needs

This information will be retained for the duration of the project. The activities we deliver are publicly funded. For legacy purposes this information may be retained beyond the life of the project. In the event of the project finishing, all individuals and organisations will be notified of legacy proposals and all individuals will offered the right of erasure of their data.

What information does Museum Development South West not keep?

We may ask you about your access requirements and dietary preferences as part of the information in relation to an event that you are attending with us. These preferences will be deleted no later than 42 days after the event has taken place.

When you apply for a bursary or grant from us that needs to be paid in to a personal bank account we will not retain this information. Personal financial information will be deleted once payment has been issued. This data may take up to 62 days to be deleted.

What information we collect about you from other sources

We may combine the information mentioned above (excluding access, dietary and personal finance information) with information from external sources in order to gain a better understanding of our museum clients. The personal information we collect from public sources may include:

  • Employment and professional information
  • Attendance of events delivered by external partners developed and delivered in partnership with Museum Development South West

What we do with the information we gather?

Depending on the preferences you have indicated and your relationship with Museum Development South West, we will use the personal information you have provided to:

  • Provide services to you or your organisation
  • Send you communications in order to inform you of other services or events related to Museum Development South West which may include emails containing relevant news from our supporters or partners
  • Keep records internally
  • Improve services and events
  • From time to time, we may also ask you to participate in surveys and research

Appointed Third Parties (e.g. Museum Development Officers) are bound by their employing organisation’s data protection and privacy policies. Any breech of these values and/ or the law is the responsibility of their employing organisation, not Museum Development South West (Bristol City Council).

South West Museum Development also directly contracts individuals and/ or organisations to deliver specific pieces of work for us. All individuals and/ or organisations defined as an appointed third party are required to uphold Museum Development South West (Bristol City Council) values whilst working according to this Privacy Policy statement plus all respective and subsequent laws. Should any breech of these values and/ or the law occur, the contracted individual and/ or the organisation are liable for the breech not Museum Development South West (Bristol City Council).

Event bookings made through Eventbrite

Where event bookings are made through Eventbrite it is important to highlight that Museum Development South West is considered the data controller and Eventbrite is considered the data processer. This means that when you provide personal information as part of the booking process your information is treated as part of the Museum Development South West privacy policy and the details set out within this document.  By using Eventbrite you are agreeing to the Eventbrite Terms of Service.  If you do not wish to agree to these Terms of Service you are required to terminate your access by deleting your Eventbrite account.  Further details can be found on the Eventbrite website.

Controlling your personal information
